podcast production: recover after a failed drive handoff

What should I do when files disappear during the podcast production handoff?

Short answer

First stop every sync and copy job and set the recorder card and handoff drive aside. Podcast files often pass through shared cloud folders or an editor's drive, where a sync conflict or a move can remove them from both places. Check the cloud service's deleted files, reconstruct who copied what, then scan the original card read-only.

The situation

Media was handed to another editor or drive and is now missing from both expected locations.

When an episode disappears on its way to the editor, the cloud folder is as much a suspect as the drive. A sync client can remove a file locally because it was deleted elsewhere, which leaves both sides empty without anyone deleting anything on purpose.

01 / Diagnose

Work out what actually disappeared

Podcast handovers pass through more hands than the recording itself: the card, a shared folder, the editor's drive and sometimes a second upload for the show notes. A move instead of a copy takes the file off the source at the moment it lands, so an interruption loses both copies. Sync conflicts rename files with a suffix, and a paused client reports a transfer that never completed.

Move operations, duplicate filenames and destination assumptions can fail between teams. For podcast production, this matters because the podcast production combines several sources, takes and handoff steps that must be reconciled as a set

Check the last known path, trash and backups without writing to the original device.

02 / Protect the source

Preserve the best recovery chance

  1. 1

Pause the sync client on both computers and disconnect the handover drive, then put the recorder card aside without letting anything write to it.

  2. 2

Open the cloud service in a browser and check its deleted items and version history first; a file removed by sync is usually restorable there for a limited time.

  3. 3

Search both computers for the track names and for conflict copies with added suffixes, then scan the handover drive read-only if the names appear nowhere.

  4. 4

Restore or export the tracks to a local drive outside the synced folder, check them there, and only then copy a finished set back into the shared folder.

Avoid this now

Do not resume the sync client hoping it will bring the files back, and do not empty the cloud trash while looking for space. Resuming can propagate the deletion to the last machine that still holds a copy.

03 / Choose the method

Match the tool to the source

For stable, readable exFAT, NTFS and FAT16/FAT32 or uncompressed IMG, DD, RAW and BIN images.

Unconfirmed exports are marked .UNVERIFIED.

Files that only ever existed in a cloud folder are a matter for the provider, not for a local scan. File Recovery Hero reads locally connected exFAT and NTFS media read-only; it cannot reach network shares, server-side versions or an encrypted drive.

Raw volumes, MBR/GPT and full product limits

04 / Verify

Check the recovered content, not just its name

The handover is safe again when every track exists on a drive that no sync client controls, the byte sizes match the card, and the editor opens one file per speaker and hears the full episode rather than a conflict copy.

Keep the source until two verified copies exist. One working preview is not enough.

FAQ

Questions about this recovery case

Can podcast production cards and drives be recovered in this situation?+

When an episode disappears on its way to the editor, the cloud folder is as much a suspect as the drive. A sync client can remove a file locally because it was deleted elsewhere, which leaves both sides empty without anyone deleting anything on purpose. The result still depends on what remains readable on the source.

What should I avoid before scanning?+

Do not resume the sync client hoping it will bring the files back, and do not empty the cloud trash while looking for space.

Does scanning write to my memory card?+

Your memory card is only read. Nothing is saved to it.
